General Information & Preparation

Who should be the speaker for my tool?

Choose a motivated, German-speaking person who feels comfortable presenting to an audience. Since it's all about practical relevance, colleagues from Solution Consulting, Customer Success, or Product Management often work particularly well.

What does OMR Reviews need from us beforehand?

Before the Tool Talk, we need from you:

  • Name, email address, and a portrait photo of the speaker (6-8 weeks in advance)
  • Your high-resolution logo (6-8 weeks in advance)
  • The completed questionnaire about your ideal target audiences (ICPs) (6-8 weeks in advance)
  • Your presentation (no later than 1 week before)

Is there a joint meeting before the Tool Talk?

Yes. Using a DOODLE survey, we'll find a time that works for everyone involved in the Tool Talk. This will take place approximately 2 weeks before the Tool Talk.

This meeting is designed to get to know each other beforehand, discuss the industry expert's questions, clarify any general questions, and test the webinar tool.

Who's behind the Tool Talks and who can I contact with questions?

Behind every Tool Talk is a team that makes sure everything runs smoothly from the initial planning through to the live event.

  • Liz: She holds overall responsibility for the Tool Talks. Liz steers the format strategically and manages our industry experts.
  • Madlin & Caro: These two are your experts for project management. They ensure that the Tool Talks are perfectly prepared in terms of timing and content, and they support the implementation of the live events.

Presentation

Is there a template for the presentation?

Yes, we'll provide you with a Google Slides template. It's structured to guide you optimally through your 10-minute slot and ensures a consistent look for viewers. You can work directly in the template.

Please use this template in Google Slides (not PowerPoint or other applications) and stick to our design, as this ensures a consistent, as neutral as possible perception among viewers. Your logo will of course be inserted on the slides with your content.

We'll load the presentation as a PDF into our webinar tool and also send it to participants afterward, so please avoid video content. If that's not possible, you can share your screen to display your presentation slides.

Do I have to follow the provided presentation structure?

Please follow the red thread we've provided as best you can:

  • Who is your tool for?
  • Use case
  • Problem solution through a tool

You don't have to stick exactly to the number of slides provided. If you need 1-2 additional slides for your content, feel free to use our layout slides.

What is meant by a use case?

Our experience shows that practical examples work well with our target audience. Your selected use case can be either a fictional or real scenario (if you're allowed to use it). The case should describe a problem that your tool solves. This type of presentation allows for easy insight into your tool and its functionality and creates comparability!

Can I include QR codes, offers for the tool, or my contact details?

Unfortunately, that's not possible! The Tool Talk is not a classic sales pitch! You should convince with your product's USPs.

Furthermore, we want to give every tool an equal chance to present itself, regardless of other tools' offerings.

Around the Live Event

What does the schedule look like on the day of the event?

We'll meet on the day of the Tool Talk at 09:15 AM in the virtual waiting room. This allows us to do a final tech check and build team momentum.

The Tool Talk officially starts at 09:30 AM and runs until 11:00 AM or 11:30 AM, depending on the number of tools. Please block off about 10 minutes after the official end of the Tool Talk. If there are lots of questions in the Q&A, this gives us time to answer them all.

Who controls the slides during the presentation?

You have control and click through your slides yourself in our webinar tool, Webinargeek. In the joint preparation meeting (about 1-2 weeks before the event), we'll test exactly how this works.

If you want to show a live look at your tool, please let us know before the Tool Talk. Then we'll make sure to give you permission to share your screen at the right moment.

Is a live demo possible or can I share my screen?

Yes, you have the option to share your screen and jump into your tool. While it's optional, it's a clear recommendation from us. Experience shows that a brief live demo makes your tool more tangible and is well-received by viewers.

Please let us know before the Tool Talk if you'd like to demo your tool live.

Do I have any influence over the experts' questions?

Yes! You'll see the industry experts' questions in advance. We'll discuss these in a joint meeting. You also get to pick one preferred question that you're guaranteed to be asked after your pitch.

Of course, we can't control questions from the audience in the live chat. However, if there are questions from viewers that you don't want to answer, you can let us know. Then the moderator won't ask you that question.

You can simply send a short message in our speaker-only chat in the webinar tool (we'll show you where to find it before the webinar). Only speakers can use this chat, and it gives us a way to communicate with each other during the Tool Talk as well.

How do we handle questions in the chat?

The OMR Reviews team filters the questions in the background. In the final panel discussion, the experts will pose these to the appropriate speaker. If you can't answer a question right away, that's no problem. A reference to your support or website is completely fine.

Does my camera need to be on the whole time?

While other tools are presenting, all other speakers turn off their cameras and microphones. This keeps full focus on the current tool. During the intro round and the panel discussion, all cameras are turned on. Everyone activates their microphone when they speak.

What should I keep in mind for good audio and video quality?

Please ensure a quiet environment where you won't be disturbed. Don't use Apple AirPods, as we've found they transmit background noise. During the Tool Talk, please mute your microphone when you're not speaking.

Pay attention to a professional background. If the room behind you looks visually busy, please use the blur feature in your video settings.

Can I test the technology before the Tool Talk?

Yes, we'll test the webinar tool together in the preparation meeting. The test link we use in that meeting can be used again afterward whenever you want to test things out on your own. You'll find the link in your calendar invitation for the Tool Talk itself. It's labeled as a test link and the URL always ends with "dry_run".

Follow-up

Are the contacts GDPR-compliant?

Yes, we only share contacts that have given double opt-in consent.

When and how do we receive the contact information?

The contact data will be processed after the event. If you've booked this with your package, you'll get access to it shortly.

On the day of the Tool Talk, we'll send you access to the portal with potential customers. There you can select the number of contacts that are interesting for you, according to your budget. These are initially anonymized contacts. You'll see the following data:

  • Career level
  • Company name
  • Number of employees
  • Live attendance at the Tool Talk (yes/no)

Once you've finalized and confirmed your contact selection, you'll automatically receive the complete contact details in the portal. Then you can start reaching out to the contacts. Also check out our tips for successful contact outreach after the Tool Talk.

Is there a recording of the event?

Yes, the entire Tool Talk will be recorded. We'll send this recording and the slides via email after the event to all registered people who have given their double opt-in consent, including those who couldn't attend live.

Depending on which Tool Talk package you booked, you may also receive a recording from us. Please note that you can only reuse the recording if you've booked this option. When using it, also keep in mind the agreed purposes and duration of use.
